Ticket Privacy Policy

Personal data collected and processed via https://cogx.co/ or on https://cognitionx.com or on partner sites contracted by CognitionX Limited to deliver CogX 2020 (hereafter the “Website” or “Websites”) are collected and processed by the organizer, Cognitionx Limited, 20 Air Street, London, W1B 5AN, (“CognitionX”, “we”, “us” or “our”) which is the “controller” of your personal data for the purposes of this Privacy Policy under the General Data Protection Regulation and UK Data Protection Act 2018. 

This Privacy Policy explains what we do with personal data that you provide to us in relation to organising and running CogX 2020. 


We collect and process personal data that you provide to us in relation to your registration for CogX 2020. This includes your name, job title and type of job, email address, phone number, address, topics you are interested in, details of your organisation, details of how you heard about CogX 2020 and your motivation for attending, dietary requirements, and your country.

We also process personal data regarding your activities and interactions during CogX 2020, including sessions that you RSVP for and attend, questions you ask, polls you take part in, pages you visit, products and companies that you express interest in, other attendees and partners you interact with and meet with, and meetings that you request.


CognitionX may use your personal data:

  • To manage the organization of the Events  to which you have registered (e.g. CogX 2020)
  • To provide access to the Events (including virtual access)
  • To provide management of invitations by our partners
  • To communicate to you any useful information regarding the organization of the Events
  • To manage the online sale of CogX  passes
  • To issue passes
  • To email you regarding abandoned checkout processes
  • Once you have registered for the Event, to provide necessary information to you in connection with your attendance (including attending virtual/online events)
  • To invite you to register to any new Event organized by us
  • To invite you to register to any new Event organized by our partners, including partners exhibiting at CogX
  • To measure the audience on the website
  • To measure the performance of our social media campaigns and mobile campaigns
  • Facilitate interactions between other attendees at our Events (including virtual events) via attendee communication platforms provided in conjunction with the event by third parties (e.g. Grip mobile app). 

If you are in the UK, we will process your personal data in order to send you direct marketing messages regarding our products and services, unless you have opted out of receiving such messages from us. 

If you are outside of the UK (or are in the UK and are a sole trader or partnership) we will process your personal data to send you direct marketing messages regarding our products or services, provided you have given us your opt-in consent to do so where required under applicable laws.

If you are from the UK or the European Economic Area (EEA), our legal basis for collecting and using your personal data described in this Privacy Policy depends on the type of personal data we process and the purposes for which we process it. 

We may process your personal data because:

  • We need to perform a contract with you, for example where it is necessary to process your personal data in order to provide you with access to the Event you are attending (including attending events online/virtually) 
  • You have given us your consent to do so, if consent is required under applicable laws 
  • The processing is in our legitimate interests and it is not overridden by your rights (i.e. where it is in our interests to process your personal data for the purposes of improving our future events) 
  • In order to comply with legal obligations to which we are subject 


If you provide personal data to us through one of our forms, your personal data may be shared with sponsor partners, exhibitor partners, content partners, logistics partners and providers, who are permitted to use such data solely in connection with organising and conducting CognitionX’s activities including CogX 2020, as described above. For a full list of lead partners please see Appendix A (“Lead Partners”). For a full list of partners, please see Appendix B (“Partners”). 

We also provide your personal data to third party providers to the extent necessary to conduct CogX 2020, including third parties that provide communication platforms that facilitate contact between attendees during the event (e.g. CogX networking app hosted by Grip).  

Please note that when using such communication platforms other attendees may be able to view your name, job title and company, and can contact you as permitted via those platforms. Please see the Privacy Policy and Terms of Service for Grip, for more information regarding how the provider of that service uses your personal data. 

In addition, Personal Data may be shared with a Lead Partner, or any other Partner for the purpose of follow-up on interactions during CogX 2020, and for a period of 12 months following CogX 2020. 

CogX Networking app: the following Personal Data,name, title and company, will be shared with Partners including Lead Partners with whom you interact via the CogX networking mobile app and Grip online service hosted by Grip in the following ways:

  • by requesting or attending a meeting 
  • by explicitly indicating your interest in participant or Partner
  • by requesting one to one meetings with a participant or Partner
  • by viewing the Partner’s products and exhibition assets
  • by adding sponsored or co-curated sessions to my event calendar within the app

Please note that even if you have opted out of receiving direct marketing emails or telephone calls from us or our Lead Partners, our Lead Partners and Partners may contact you through the CogX networking app (e.g. the Grip app) during the event. Please see the Privacy Policy and Terms of Service for Grip, for more information regarding how the provider of that service uses your personal data.

Your contact details – Your personal data, including contact information such as e-mail addresses or phone numbers may be shared in the following circumstances with our Lead Partners: 

  • if you are in the UK, your contact details may be shared with Lead Partners for direct marketing purposes by those partners provided you have not opted out of receiving these communications. 
  • However, if you are outside of the UK (or in the UK and are a sole trader, partnership or attending CogX in your personal as opposed to professional/business capacity), your contact details will be shared with our Lead Partners for direct marketing purposes if you have provided your prior opt-in consent for receiving these communications. 

In addition, we may share your personal data, including your contact information such as e-mail addresses or phone numbers in the following circumstances: 

  • For interactions with Lead Partners,  you may receive direct marketing messages via email or telephone from the Lead Partner if you have the following interactions. 
    • If you add a sponsored session to your event calendar or attend a sponsored or co-curated or Lead Partner hosted session
    • If you request to “share my contact details” on the app
    • If you view the YouTube/Vimeo demo link embedded in the expo booth
    • If you schedule a meeting, or connect over Live Chat with a Lead Partner representative
    • If you showing interest in a page or product (wherever the interest buttons are) and specifically request information
    • If you enter Lead Partner side event, co-curated event or in-booth session

The following interactions will not result in sharing of Personal Information other than name, title and company

    • If you enter or view an Expo Booth
    • If you view a product listing or company rep profile 
    • If you have any other view-only activity

Other than the scenarios described above, we will not share your personal data with any other parties outside of CognitionX, except (i) in the event of a merger or sale of the company’s assets; (ii) as required by law or as required in the course of officially authorized law enforcement investigations, (iii) in order to protect our rights.

Questions, comments and other communications

When you send us personal data via e‐mail for example in  an email containing a question or comment, or by filling out a form that e‐mails us this information, we use it to respond to your requests.  Personal data processed for these purposes will be retained  as long as necessary to complete our response.

Your personal data may be transferred outside of the European Economic Area (“EEA”) or the UK. We will only transfer your personal data outside of the EEA or the UK where it is compliant with data protection legislation and the means of transfer provides adequate safeguards in relation to your personal data. 

We will take all the steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy and no transfer of your personal data will take place to an organisation or a country unless there are adequate controls in place including the security of your personal data.


If you are in the EEA or UK, you have certain data protection rights, which apply in certain circumstances: 

  • The right to access your personal data. You may ask us for a copy of the personal data we hold about you, and request that we modify, update or delete such personal data. 
  • The right of rectification. You have the right to have your personal data rectified if it is inaccurate or incomplete.
  • The right to request erasure/deletion. You have the right to request that we erase your personal data in certain circumstances. 
  • The right to object. You have the right to object to our processing of your personal data in certain circumstances (e.g. for the purposes of direct marketing or where we process your personal data on the basis of legitimate interests).
  • The right of restriction. You have the right to request that we restrict the processing of your personal information in certain circumstances.
  • The right to data portability. In certain circumstances you have the right to be provided with a copy of the personal data we process about you in a structured, machine-readable and commonly used format.
  • The right to withdraw consent. You also have the right to withdraw your consent at any time where we have relied on your consent to process your personal data.

Please note that we may ask you to verify your identity before responding to such requests.

You have the right to complain to a data protection authority in your jurisdiction about our collection and use of your personal data. For more information, please contact your local data protection authority in the UK or EEA.

You may also send us special directives regarding the use of your Personal Data after your death.

The personal data you have shared with us, and that enables us to contact you, will be kept for five years after your registration to an event, or 3 years in case of a subscription to our newsletter or after any information inquiry.

The data that you have shared, necessary for the payment of your pass, will be stored in accordance with legal obligations.

Analytics data collected for the purposes of audience measurement, retargeting, measurement of the performance, will be kept for up to 5 years following the event.


The Website may contain links towards other sites that we do not control. We are not responsible for the data privacy and collection practices or the content of such sites. If these sites include terms of use, terms of service or any other privacy policy, you must read them carefully as your use of those sites will be subject to such policies.


We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. We will let you know via email and/or a prominent notice on our Website, prior to the change becoming effective and update the “effective date” at the top of this Privacy Policy.

You are advised to review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective when they are posted on this page.
